Effective job management for small businesses
JobPro is a simple, intuitive job processing and control system that allows businesses
in the service industry to keep tight control over the pricing, performance, and paperwork of their jobs resulting ultimately in measurably increased profits.
JobPro is supplied as a single user licence. It is installed on an end user supplied workstation or laptop along with SQLExpress from Microsoft.
Using SQLExpress, JobPro can have a maximum of 5 concurrent users running on a peer to peer Workgroups network. If more than 5 concurrent users are required, it will be necessary to install Microsoft server 2003 and SQL2005. JobPro is fully scalable up to 100 concurrent users.
JobPro Features
Users can set up / maintain Customers, Product (billing) codes and Resources (people, vehicles, plant items).
Your installer will set up for you as many Job Types as you require, each Job Type having its own status tree determining how the work flow proceeds.
JobPro is completely configurable allowing multiple work types each with its own status tree. For example, a transport operator could have Livestock and Freight operations operating side by side while an accounting firm might have job types of Audit, Taxation, Company Records
The JobPro dispatch and tracking engine allows each user to have up to 5 desktop diary configurations. These could be one for each type of work. An alternative could be to set up the configuration to show
1. All Jobs – 1 tile for each job type – an example is shown in the diagram below
2. All Resources – 1 tile for each resource
3. Live Jobs ie jobs needing allocating to resource
4. Work in Progress jobs
5. Completed Jobs ie ready for rating and invoicing
JobPro has a flexible pricing routine that allows pricing by flat rate eg $20 per hour; Rate Schedules eg for Freight, and Contract pricing by customer, Billing code and geographic area
JobPro has tracking reports showing jobs by status, by customer, and by resource.
Invoicing can be controlled by date, customer and type of work
Fully Configurable Dispatch Desktop Screen
To manage the range of work JobPro offers a unique "Dispatch Desktop". From one screen a Dispatch operator can view everything they need to do their job. Within the desktop, individual windows can be summoned to display specific job types, jobs taken on a certain day, jobs currently assigned to a resource, etc. The design is based on an “ask and you will receive” approach where by the Dispatcher can specify several parameters and then with a click of a button have a window launch to display that information. For Example, this approach enables a Dispatcher to have on their screen at any point in time all of their unallocated jobs in one window and then each truck they are filling in their own windows.
Then via simple drag and drop they can allocate jobs out to resources and visually see the results.
There is huge variety within the service industry and JobPro has been built to cater for that. Each JobPro implementation can be defined with its own unique job types, job statuses, rating system, geographic locations, and invoicing policy. Revenue can be assigned by product, job type, or vehicle. The revenue on any one job can be split between resources to recognise the different involvement each profit centre had in the completion of the job. Detailed revenue splits will then feed through to your financial ledger to support comprehensive profitability analysis.
Integration to other systems
A key feature of JobPro is its ability to integrate to other systems. The Dispatch function can accept work from Word, Excel, fax and emails as well as other software eg warehousing products. Invoices can be passed to a range of accounting systems. However, JobPro has been optimized to work with MYOB Premier 11 and the Accounting Plus 17. Changes to customers in JobPro update the MYOB Cards files seamlessly, while invoices are generated with MYOB account codes and hence pass easily into the MYOB sales system.
